Nationwide Apostille
You have a document that needs to be recognized in another country, and the receiving authority is asking for an apostille. Palm & Seal handles that certification end to end, whether your document was issued in Florida, in another state, or by a federal agency in Washington, D.C.
We prepare the paperwork, route it to the correct government office, track it the whole way, and ship the certified document back to you. Every apostille we have submitted has been accepted.
What is an apostille?
An apostille is a certificate that authenticates the origin of a public document so it can be used in a foreign country. It confirms that the signature, seal, or stamp on your document is genuine. Countries that belong to the 1961 Hague Apostille Convention accept this single certificate in place of a longer embassy legalization process. Only a government authority can issue an apostille. For a state-issued document, that is the Secretary of State or equivalent office in the issuing state. For a federally issued document, it is the U.S. Department of State. Palm & Seal is not the issuing authority. We are the service that prepares your document correctly and gets it in front of the right office without the back-and-forth. If your destination country is not part of the Hague Convention, your document needs embassy or consular legalization instead of an apostille. Tell us where the document is going and we will confirm which path applies before you pay for anything.
Which documents can
Palm & Seal get apostilled?
We coordinate apostilles on most categories of public and notarized documents, including:
Birth, marriage, and death certificates
Single status and no-record affidavits
Diplomas, transcripts, and other academic records
Powers of attorney and notarized affidavits
Corporate documents such as articles of incorporation, bylaws, and certificates of good standing
Background checks (state and FBI)
Adoption paperwork
Documents for dual citizenship, foreign property, marriage abroad, and overseas work or study
If your document is not on this list, send us a description through our intake form and we will tell you whether it qualifies and what the issuing state requires.
How does the apostille process work?
You tell us what you need. Submit your document details through our intake form, including the destination country and your deadline.
We confirm the requirements. We verify which government office issues the apostille for your document and whether anything needs to be notarized or certified first.
We prepare and submit. We handle notarization where the document originates in Florida, complete any required certifications, and submit to the correct authority.
We track and return. We monitor the submission and ship the finished apostille back to you with tracking.
You stay in the loop the whole time. No standing in line, no guessing whether you filled out the right form.
Which states does
Palm & Seal cover?
We coordinate apostilles on documents issued anywhere in the United States. These are our dedicated state guides, each with that state's authority, fees, and current timelines:
Don't see your state? We still cover it. Request a quote and we will give you the timeline and price for that office.
How much does an apostille cost?
Apostille service starts at $245 for a single document. Your exact rate depends on which state issued the document and how quickly you need it back, because government fees and shipping logistics vary from one office to the next. Additional documents in the same submission are billed at a lower flat rate, since they travel together.
Every quote is all-inclusive. The price covers our service, notarization where your document originates in Florida, one government certification fee, and tracked return shipping. No surprise add-ons.
Request a quote and we will give you a firm number and timeline for your specific document.
Do you offer same-day apostilles?
In genuine emergencies, yes. Montana is the only U.S. state that issues a fully electronic apostille, often within hours, and we can route certain documents through that channel when you have a true same-day deadline. This option is premium-priced and reserved for cases where standard timelines will not work.
Same-day routing only applies to documents that can be notarized remotely and that the receiving authority will accept in electronic form. It does not apply to vital records like birth certificates or to federal documents. If you have a hard deadline, contact us right away and we will tell you honestly whether this path is available for your situation.
Why work with Palm & Seal?
Apostille work is detail work. One wrong certification, one missing notarization, or one form sent to the wrong office can cost you weeks and the document can come back rejected. That is the part most people don't see coming.
Stephanie has built Palm & Seal around getting that detail right the first time. Every apostille submitted has been accepted. You get one point of contact who knows your file, plain answers about timing, and a tracked document at the end of it. For clients in South Florida, local drop-off and pickup is available.
Is Palm & Seal a law firm?
No. Palm & Seal is a notary and apostille facilitation service, not a law firm, and Stephanie is a commissioned notary public, not an attorney. We do not draft legal documents, provide legal advice, or tell you what your documents should say. If you need a document written or need legal guidance about your situation, we will refer you to a licensed attorney. Once your document is ready, we notarize it where applicable and handle the apostille.
Frequently Asked Questions
How long does an apostille take?
It depends on the issuing state and the service level you choose. State timelines range from about one week to six weeks for standard service, with expedited options available. Each of our state pages lists current estimates. Government processing times can shift, so we confirm your timeline before you commit.
Can you apostille a document from a state I no longer live in?
Yes. The apostille has to come from the state that issued the document, not the state where you live now. We coordinate with the correct issuing authority wherever your document originated.
Do you handle documents going to non-Hague countries?
Yes, we handle those too. When a document is headed to a country outside the Hague Convention, it needs embassy or consular legalization instead of an apostille. That is a longer, multi-step process with its own pricing, separate from standard apostille service. Tell us the destination country and we will walk you through what it involves and give you a quote.
What if my document gets rejected?
Every apostille we have submitted has been accepted, because we verify the requirements before anything goes out. If a receiving authority ever raises an issue, we work with you to resolve it.
How do I get started?
Request a quote with your document details and destination country. We will confirm the requirements, price, and timeline before any work begins.
Disclosure: Palm & Seal facilitates the preparation and submission of documents for state, federal, and consular authentication. We are not a government agency and do not issue apostilles or legalization certificates directly. Processing times and final approval are determined by the appropriate state or federal authority.
