Refund and Cancellation Policy
Effective Date: September 18, 2026
At Palm & Seal, we take pride in providing efficient and customized services. Due to the time-sensitive and administrative nature of our work, we maintain the following policies for all services.
General
Payment and Confirmation: Your invoice is issued after we review your documents or your request. Work begins once payment is received. Appointments are confirmed only when payment is complete.
Once Work Begins: Payments are non-refundable once work begins. Work begins when we start preparing, translating, reviewing, or submitting your documents, or at the start of your scheduled session.
Third-Party and Government Fees: Government, courier, and third-party platform fees, including RON platform fees and apostille agency fees, are non-refundable once submitted.
Discretionary Refunds: Refunds outside these terms may be granted at our sole discretion where work has not yet begun.
Palm & Seal Cancellations: If we must cancel your appointment or cannot complete your service, you may reschedule or receive a full refund of any amount covering work not yet performed.
Remote Online Notarization
Payment Deadline: Payment is due at least two hours before your scheduled start time. Sessions that remain unpaid at that point are cancelled and the time is released. No cancellation fee applies to an unpaid session, and you are welcome to rebook once payment is complete.
Rescheduling: Rescheduling with more than four hours' notice is free. Inside four hours, a $35 rescheduling fee applies.
Cancelling: With more than four hours' notice, your payment is refunded less at least $35 of the session management fee, which covers platform costs and the document review already completed. Inside four hours, only notarial act fees are refunded. Witness fees and interpreter fees are not refunded.
No-Shows: Your session is held for 15 minutes past the scheduled start time. After that, the session is closed and treated as a cancellation made inside four hours.
Apostille and Document Authentication
Deposits: We reserve the right to require a $50 deposit to begin an apostille matter, applied to your final balance.
Cancelling: Before we submit your documents to any agency, your payment is refunded less any preparation, courier, or shipping costs already incurred. Once documents are submitted, payments and filing fees are non-refundable, including when an agency rejects or delays a filing.
Translation and Other Document Services
Cancelling: Before we begin preparing or translating your documents, your payment is refunded in full. Once work begins, payment is non-refundable, and any completed portion is delivered to you.
Corrections and Revisions: If we enter your information incorrectly, we correct it at no charge. Changes to the information you gave us, or a change to the form or scope, are quoted separately before we proceed.
