We do not sell your Personal Information. We do not share your mobile telephone number or your text messaging consent records with any third party for marketing purposes.
HOW WE STORE YOUR DATA
We process and store your data using the following providers:
Google Workspace, QuickBooks and QuickBooks Payments, Encyro, BlueNotary, GoHighLevel, Calendly, Flodesk, and Squarespace.
Please visit their individual websites for information on the physical location of their servers where your information is stored.
We use commercially reasonable security measures to protect against unauthorized access to or unauthorized alteration, disclosure or destruction of any information that may be stored on our servers. Of course, no computer network or data transmission on the internet can be guaranteed to be 100% secure and so you submit your information at your own risk.
We will maintain your Personal Information for our records unless and until you ask us to delete this information.
TEXT MESSAGING AND SMS COMMUNICATIONS
If you provide your mobile telephone number and affirmatively consent, we may send you text messages relating to your appointments, service updates, and, where you have separately consented, occasional promotional messages.
Providing a mobile telephone number is optional and is never required to book an appointment or receive service from us.
Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. All categories of information sharing described in this Privacy Policy exclude text messaging originator opt-in data and consent. This information will not be shared with any third parties.
We may share mobile information with subcontractors and service providers who assist in delivering our messaging program, and only for that purpose. These providers are bound by confidentiality obligations and may not use the information for their own marketing.
Message frequency varies. Message and data rates may apply.
You may opt out of receiving text messages at any time by replying STOP, QUIT, END, CANCEL, UNSUBSCRIBE, or REVOKE to any message you receive from us. Reply HELP for assistance, or contact us at hello@palmandseal.com or (954) 909-6833.
Opting out of text messages will not affect your ability to book or receive services, and you will continue to receive email communications relating to your appointments.
NOTARY RECORDS AND REMOTE ONLINE NOTARIZATION (RON)
For RON services, we retain audio-video recordings and associated electronic journal entries as required under Florida Statute §117.245. These are stored securely through approved RON platforms for a minimum of 10 years.
EMAIL MARKETING
We send marketing emails only to clients who have affirmatively opted in, either by checking the consent box when booking or by subscribing through our website. Transactional messages relating to your appointment, invoice, or service are sent as part of delivering the service you requested and are separate from marketing communications.
You may unsubscribe from marketing emails at any time using the link in any message, or by contacting us at hello@palmandseal.com.
ADVERTISING
We use Device Information, including cookies and pixels, to measure the performance of our advertising and to show ads for our services to visitors who have previously visited our Website. This advertising is based on website activity and browser data only.
We do not upload, share, or otherwise provide any client information to advertising platforms. We do not use your name, email address, mobile telephone number, text messaging consent records, or notarial records for advertising purposes. Our advertising reaches prospective clients through search and browsing activity only, and never through any list or record of our existing clients.

YOUR DATA PROTECTION RIGHTS
Legal bases for processing. Where the General Data Protection Regulation applies, we process your Personal Information on the following bases. To perform our contract with you, when we deliver notarial, apostille, or related services you have requested. To comply with legal obligations, including notarial recordkeeping required under Florida law. With your consent, for marketing emails and text messages. For our legitimate interests, including securing our website, preventing fraud, and understanding how visitors use our site, where those interests are not overridden by your rights.
Retention. We retain audio-video recordings and electronic journal entries for RON services for a minimum of ten years, as required under Florida Statute §117.245. We retain financial and transaction records for seven years to satisfy tax and accounting obligations. We retain marketing contact information until you withdraw consent or ask us to remove it. We retain website analytics data for twenty six months. Where no legal obligation requires longer retention, we delete Personal Information when it is no longer needed for the purpose it was collected.
Your rights. If you are located in the European Economic Area or the United Kingdom, you have the right to request access to the Personal Information we hold about you, to request correction of inaccurate information, to request erasure, to request restriction of processing, to object to processing carried out on the basis of legitimate interests, to receive your information in a portable format, and to withdraw consent at any time where processing is based on consent. Withdrawing consent does not affect the lawfulness of processing carried out before withdrawal.

Please note that certain notarial records are subject to mandatory retention under Florida law, and we may be unable to delete them until the statutory retention period has expired.
International transfers. We are located in the United States, and your Personal Information will be processed there. Where we transfer information from the European Economic Area or the United Kingdom, we rely on Standard Contractual Clauses or an equivalent safeguard with the service providers listed in this policy.
Automated decision making. We do not make decisions about you based solely on automated processing that produce legal or similarly significant effects.
THIRD PARTY WEBSITES
Our privacy policy applies only to our website. We are not responsible for the data collection, privacy practices or policies of any third-party site to which we may provide a link or that may link to our site. We encourage you to read the privacy statement and terms of use of other sites.
CHANGES
We may update this privacy policy from time to time to reflect, for example, changes to our practices or for other operational, legal or regulatory reasons. The date of the last revision will be indicated by the “Last updated” date at the top of this page. Any such changes are effective immediately upon publication on our Website.
COMPLAINTS
